Register of Members

Under delegation by the Secretary, member contact details held in the ‘Register of Members’ shall be kept by the Treasurer, remain confidential, and made available only to Committee Members on a “need to know” basis as approved by the President.

The Treasurer, upon resigning or otherwise concluding his/her term shall pass on the register of members to the incoming Treasurer or the Secretary.

The outgoing Treasurer shall, to the best of his/her ability, delete any copies of membership records in his/her possession.

This condition shall also apply to any Committee Members (eg Secretary, Publications Officer) who have received copies of membership records as part of their Association duties.

Financial records

The Treasurer will hold any personal financial information obtained in the course of the Association’s business in strict confidence unless otherwise approved by the owner.

The Treasurer, upon resigning or otherwise concluding his/her term shall pass on the financial information to the incoming Treasurer or the Secretary.

The outgoing Treasurer shall, to the best of his/her ability, delete any copies of members financial records in his/her possession.

This condition shall also apply to any Committee Members (eg Secretary) who may have received copies of member’s financial records as part of their Association duties.

Other personal information

Committee members who have received personal information in the performance of their Association duties, including email addresses, must retain this information in strict confidence within the Committee unless otherwise approved by the owner.

Upon resigning or otherwise concluding his/her term, the committee member shall, to the best of his/her ability, pass that information to the Public Officer and then delete the records in their possession.

Use of personal information

Personal information received in the course of the Association’s work may only be used for the purposes of the Association’s work.
